ClockWork

Support

ClockWork (clock-work.app) is staff scheduling and time-clock software made by Central Trade LLC. Businesses use it to schedule their staff, let them clock in and out on a store iPad, and share schedules and hours with them. It has two apps: ClockWork Team, for iPhone and iPad, is for managers and the people who work in their stores, and ClockWork Kiosk turns a store iPad into the time clock.

If you work for a business that uses ClockWork, your manager can answer most questions about your schedule and hours sooner than we can.

Help for staff

  • Signing in: use the username and password you chose when you joined from your invitation, in ClockWork Team or on the staff website at clock-work.app/me/signin. If you forget your password, ask your manager for a new invitation: joining again lets you choose a new one.
  • Sign-in codes by text: on the staff website you can also tap “Sign in with a texted code instead”, or open clock-work.app/me/signin/code, enter your own mobile number, and tap “Text me a code”. If the page says “Texted codes aren't available right now”, use your password, or ask your manager for a link or QR code. The code works for 5 minutes. A code is only sent to a number that has joined, or that a manager invited and that has not joined yet, so if none arrives, check that your manager has your current number. If you once replied STOP to one of these code texts, codes may not reach you: sign in with your password, or ask your manager for a link or QR code. If your manager invited your number and you haven’t joined, the code lets you join on the same page. You can be sent 3 codes in any 15 minutes, and 10 in any 24 hours. After 3, wait 15 minutes and try again. After 10, no more are sent until 24 hours after the first of them, so ask your manager if you need help sooner.
  • Invitation links: your manager invites you from ClockWork with a link and QR code they show you. Each link works once, for 7 days, and a newer invitation replaces an older one. If yours has expired or was replaced, ask your manager for a new one. If you have already joined, sign in with your username and password instead.
  • Joining with a texted code: if your manager invited you with your mobile number (the one they have on file for you), you have not joined yet, and that invitation is still open (less than 7 days old and not cancelled), open clock-work.app/me/signin/code, enter that number and tap “Text me a code”. Type the code we text you, and you join right there, on the same page. We never text a link. The link your manager showed you keeps working too, until you join with one of them. If your invitation has expired or was cancelled, nothing is texted: ask your manager for a new one. ClockWork never texts you on your manager’s behalf: we send a text only when a number is entered on that page and “Text me a code” is tapped. Your manager may send you your invitation link from their own phone, as a text message or through WhatsApp or Telegram; that message comes from them, not from ClockWork.
  • Kiosk PIN: you clock in and out on your store’s iPad with a six-digit PIN. You can choose it when you join and change it later under “Kiosk PIN”, or your manager can set one for you. If you forget it, ask your manager. The PIN always works, even where the iPad also offers face or fingerprint sign-in.
  • Who to ask: your schedule, your hours, a missed clock-out or anything that needs correcting go to your manager. Your employer keeps your records, so they are the ones who can change them. For a problem with ClockWork itself, your manager can contact us, or you can.

Help for managers

  • Signing in: use your username and password, the same ones on the website and in ClockWork Team. On the website you can also use a passkey you have added to your account. If you forget your password, someone else in your company sets a new one on the Users page: only an Owner can reset an Admin’s, an Owner or an Admin can reset a Branch Admin’s or a Manager’s, and a Branch Admin can reset a Manager’s when every one of that manager’s branches is theirs. An Owner can reset another Owner’s. If you are the only Owner and cannot sign in, email us.
  • “This workspace is not active”: ask your company’s Owner.
  • Pairing a store iPad: open ClockWork Kiosk on the iPad. It shows a pairing code and a QR code, which work for 10 minutes. An Owner, an Admin, or a Branch Admin for their own branches approves it in ClockWork Team (More › Kiosks › Add an iPad) or at clock-work.app/pair, which is where the QR code leads: they enter the code, choose the store and approve it. The iPad then finishes pairing by itself and shows the store’s name.
  • Pairing with a code a manager makes: an Owner, an Admin, or a Branch Admin for their own branches opens Settings on the website, picks the store at the top if there is more than one, and taps the “Connections & devices” button, since Settings opens on another section. Under “iPads (kiosk devices)”, they name the iPad and tap “Add iPad”. That gives a one-time code that works for 15 minutes. In ClockWork Team, More › Kiosks › Add kiosk with a code gives the same kind of code. On the iPad, enter the code in ClockWork Kiosk, under “I have a code from my manager”, or in the kiosk at clock-work.app/kiosk in Safari.
  • Taking an iPad out of service: remove it in ClockWork Team (More › Kiosks › Revoke kiosk) or under “iPads (kiosk devices)” on the website, and it is signed out at once. You can also unpair it from the kiosk’s own settings with an Owner’s or Admin’s email and password.
  • Billing: your company’s Owner manages the account. Neither app has purchases.

ClockWork Team in a web browser

  • Opening it: on a phone or a computer, go to clock-work.app/team in an up-to-date browser, such as Safari, Chrome or Edge, and sign in with your usual ClockWork username and password (the same as in the app or on our website): managers and staff sign in on the same page and see the same screens as in the app. Joining from an invitation link takes you there, signed in, and if you are signed in on the staff website, you are signed in there too. It needs an internet connection. A browser too old to run it says so: update it, or use another browser.
  • On your Home Screen: on an iPhone or iPad, in Safari or Chrome: Tap Share (under ⋯ if you don’t see it), then “Add to Home Screen”. ClockWork Team then opens from its own icon, full screen. In Chrome on other phones: Open the browser’s menu (⋮), then “Install app” or “Add to Home screen”. ClockWork Team then opens from its own icon, full screen. The icon may ask you to sign in once more.
  • “Keep me signed in on this device”, and shared computers: tick it only on your own phone or computer. It starts unticked in a browser tab, and ticked when you open ClockWork Team from its Home Screen icon. Ticked, staff stay signed in for 90 days, renewed as you keep using it, and managers for 7 days. Unticked, ClockWork Team signs you out after 12 hours at most, even if the browser reopens your tabs, and closing the browser may sign you out sooner; managers are also signed out after 30 minutes without use. On a store or shared computer, leave it unticked and sign out when you are done. Managers: the website that “Open full web workspace” opens is a separate sign-in, with its own, longer time limit; signing out of either signs you out of both. In a browser, changing your kiosk PIN or deleting your staff account first asks for your password, unless you signed in within the last 15 minutes.
  • Signing out: signing out of ClockWork Team in a browser signs that browser out of ClockWork Team, the staff website and the managers’ website. Signing out of either website does the same. Staff can see every phone and browser signed in to their account on “Your account”, which opens from their initials at the top of Home, and sign out any one of them, or all of them at once. Managers have “Sign out everywhere” on their own account page (More › Your account), for a lost phone or a computer they did not sign out of: it signs them out in every browser, in the ClockWork Team app and on the website.
  • Where files go: opening a document, an Employee copy of your hours or a report PDF takes two steps: when the file is ready, press “Save”, or “Share” where your browser offers it (opened from an iPhone’s or iPad’s Home Screen icon, only “Share” shows: choose “Save to Files” there). Saved files go to this device's Downloads, and ClockWork can't remove them. On a shared computer, delete them when you're done. A shared file goes to the app you choose, where ClockWork cannot remove it either. Managers can save payroll and report PDFs here only in a session where “Keep me signed in on this device” was ticked; without it, payroll still shows on screen.
  • Pictures and documents: uploading uses your browser’s own file picker, which on a phone may offer to take a photo. Pictures are re-saved in your browser before they are sent, without hidden details. On a computer, a document opens in that computer’s own PDF reader or picture viewer, outside ClockWork. Files staff upload are checked when they arrive, but not scanned for viruses.
  • Languages: the staff screens speak your language — English, Uzbek (Latin or Cyrillic), Russian or Spanish: the one you choose under “Your account” › “Language”, otherwise your browser’s. The managers’ screens are in English.
  • What ClockWork Team in a browser does not do: clocking in and out is always on the store’s iPad. A manager links an NFC staff card in ClockWork Team on an iPhone, at the store iPad, or on the managers’ website with a USB card reader. Your staff pass can be added to Apple Wallet only in Safari on an iPhone, iPad or Mac, or in ClockWork Team on an iPhone or iPad.
  • Forgotten password: staff: if “Forgot password?” answers “Texted codes aren't available right now”, ask your manager for a new invitation link: joining again lets you choose a new password. Managers: “Forgot password?” is for staff; someone else in your company sets you a new one, as Help for managers says.

Deleting your account

  • Managers, admins and owners: on the website, open “Your account” and use “Delete my account” at the bottom of the page. In ClockWork Team, go to More › Your account › Delete my account. You type your password to confirm. Your login is deleted at once and stops working on every device; your name stays on the schedules, time records and approvals you worked on, because your employer must keep them.
  • Owners: if your company has another Owner, your login is deleted the same way. If it has an Admin, you first choose an Admin to become the Owner — only an Admin can, so make a Branch Admin or a Manager an Admin on the Users page first. The new Owner is signed out once, asked to set a new password, and adds their passkeys again.
  • The only owner, with no admin: deleting your account closes your company. You type its name to confirm, and billing stops renewing that day. If your company is active today, everything keeps working for 30 days; if it has stopped paying, its screens stay locked until it closes, so make it active again first if you need its reports. Until then you can press “Keep your company open” to undo it. The company does not close while someone is still clocked in or a forgotten clock-out is waiting to be fixed; it waits up to 7 days for them. On closing day every login is deleted and the store iPads stop working, so download the reports you need first. Time and pay records are kept for 6 years after closing, then deleted.
  • Staff: on the staff website, open “Me” and tap “Delete my staff account”. In ClockWork Team, tap your initials at the top of Home, then “Delete my staff account”. It deletes your staff sign-in and the details you saved; your kiosk PIN keeps working and your hours stay with your employer. Documents your managers filed for you stay with your employer too; tick “Also delete the files I uploaded myself” to delete your own uploads as well.
  • If you cannot sign in: ask your company’s Owner to set you a new password, or email rasul@centraltradellc.com from the email address on your login and we will delete it for you. Staff can ask their manager for a new invitation instead: joining again lets them choose a new password.

Stopping text messages

ClockWork texts only what people ask for on the ClockWork sign-in page — one-time codes, to sign in or to join, sent through Twilio Verify, one text per request. ClockWork only texts when someone taps the button, so not asking is enough to receive no texts. Replies such as STOP and HELP are handled by Twilio and the mobile carriers. Not asking for texts does not affect clocking in at the store, or signing in with your username and password. See our SMS Terms of Service.
